Personal Data Policy

This policy explains how Danish Life Science Cluster collects and handles information about you when you use our website, interact as a member, communicate, or collaborate with us.

Our services are aimed at business owners. Therefore, the information we process will primarily concern the company or organization that you represent. If you contact us as a private person, your information will be processed in accordance with this policy.

The personal data policy applies to personal data that you give us or that we collect via the website or other public sources.

1. Data management

Danish Life Science Cluster manages several sources of personal data. Among other things, the data we receive is:

  • When we invite you to events or other activities
  • Through our member administration
  • Through our website
  • When we are contacted by e-mail, letter or in person (fx. at events)
  • From our participation in innovation projects /international partnerships.

Danish Life Science Cluster handles personal data in accordance with the current law, and we continually adapt our procedures to comply with the latest EU regulations that took effect on 25th May 2018 (GDPR)

2. How we process information

Danish Life Science Cluster collects and registers information about you, with the following purposes:

  • Processing event and newsletter registrations
  • Management of Danish Life Science Cluster memberships
  • Answering questions and other types of communication with us
  • Evaluation and monitoring of cluster activities connected to the Danish Board of Business Development and the Ministry of Higher Education and Science grants, as well as the boards’ appointed independent evaluators.
  • When you are participating in an innovation project/partnership with us.
  • Supplier representatives.

Stored data are first and last name, address, national identity identification numbers and e-mail addresses. The collected information is registered in Danish Life Science Cluster for the purposes of administration, advice, analysis and possible marketing of relevant services and events.

  1. Sensitive personal data
    If you have sensitive personal information registered at Danish Life Science Cluster, it will be handled with special care and in strict confidence.
  2. Use of e-mail
    If you have agreed to receive our newsletter, Danish Life Science Cluster will send you event invitations and news via email. At any time, you may inform Danish Life Science Cluster that you no longer wish to receive the newsletter.
  3. Deletion
    Danish Life Science Cluster only stores personal identifiable information for as long as it serves a legitimate purpose and for as long as it is necessary for Danish Life Science Cluster to store the data.

The legal basis for the process is the EU Data Protection Regulation article 6, subsection 1, letter f.

3. When you visit our homepage

When you visit our website, we track information about your visit to our website based on the information processed by your internet browser. We also process statistical information about website visitors but this data is anonymous. You can learn more about our policy and change your consent to cookies via our cookie policy page.

4. Newsletters, cookies, and statistics

When you sign up for our newsletter, we process the information you provide about your email address and organization.

The information is processed so that we can send you our newsletters and keep you up to date about upcoming events.

Consent is the legal basis for processing your data when you sign up for our newsletter. You are free to withdraw your consent at any time. You can do this by press “unsubscribe” to the newsletter.

5. Use of pictures from events

Danish Life Science Cluster frequently publishes pictures and videos of events and activities on our website, in newsletters, in printed matter, and social media. 6. Contact to Danish Life Science Cluster via e-mail, letters, etc.

We process the general contact information that appears in incoming e-mails, letters, invoices etc.

The purpose of the data processing is to fulfill agreements with donors, business partners and third parties, as well as to be able to receive and answer questions and other inquiries to the Danish Life Science Cluster.

The basis for data processing is to be able to administer and fulfill current grants as well as a legitimate interest in being able to administer our company, including receiving and answering inquiries.

7. Data Security

We have taken technical and organizational precautions to protect the personal information we process. A firewall, web security, security updates of servers, PC’s, and network equipment, as well as protection against viruses and unwanted programs, are required to ensure that your data is not altered, lost, or accessed by unauthorized parties. In addition, we have authorization and access restrictions to ensure that personal data can only be accessed by authorized personnel who are also bound by confidentiality and trained in handling personal data.

Messages, applications, etc. that you send to us via our websites are not encrypted, so you should avoid sending your Social Security number or other sensitive personal information.

8. Disclosure to third parties

We only share or disclose personal information to third parties in accordance with the law and for the stated purposes.

For IT operations and services, we use external vendors, and these vendors have access to our personal information. In addition, we utilize the services of additional third parties. In each case, we ensure that personal information is protected through either confidentiality agreements or data processing agreements.

9. Deletion

We only use the information for the stated purposes, and it is deleted when it is no longer required to fulfill those purposes.

We operate according to the following erasure deadlines:

  • Emails for sending newsletters: When the newsletter subscription is canceled.
  • All additional information: When it is no longer required for the intended purpose.

10. Your rights

According to the EU data protection regulation, you have several rights in relation to our data processing activities.

You have the right to access the information that we process about you, the right to have inaccurate information about yourself corrected, the right to an earlier deletion of information about you in certain circumstances, the right to have the processing of your personal data limited, and the right to object to our otherwise lawful processing of your personal data.
